Workspaces: Shortlist Tab

Learn how to use the Shortlist tab in SeekOut Workspaces to manage shortlisted candidates, fetch contact information, track outreach statuses, and collaborate with your hiring team in one organized view.

The Shortlist tab in SeekOut Workspaces is your central hub for reviewing and managing the candidates you've identified as strong fits during your search and evaluation. Once you've shortlisted profiles from the Search or Evaluate tabs, the Shortlist tab brings them all together in one place, giving you and your hiring team a clear, organized view of your top candidates and their outreach status.


Accessing the Shortlist Tab

Navigate to the Shortlist tab at the top of your Workspace screen. It sits between the Evaluate tab and the Outreach tab in the Workspaces workflow.

Candidates are added to your Shortlist by:

  • Clicking the Shortlist button to the right of any candidate profile in the Search tab.

  • Clicking the Shortlist button to the right of any candidate profile in the Evaluate tab.

Tip: You can add profiles to the Shortlist from Search or Evaluate at any time — you don't need to complete all your searching before moving candidates over. Build your Shortlist incrementally as you identify strong matches.


Understanding the Shortlist Tab Layout

Candidate List

All shortlisted candidates are displayed in a single list view. Each entry includes:

  • Candidate profile details: Name, current role, and relevant experience. Select a candidate to open their full profile card, which includes complete experience details.

  • Source: Indicates where the candidate was found (e.g., Public Profiles, Your ATS, Alumni, Internal Talent).

  • Outreach status: Shows the candidate’s current engagement stage (e.g., Contacted vs. Not Contacted). See the section below for a full breakdown of statuses.

Filtering Your View

Use the filter options at the top of the candidate list to narrow your view by:

  • Source: filter by where candidates were discovered.

  • Status: filter by outreach or pipeline stage.

  • Added by: useful for collaborative Workspaces with multiple recruiters or hiring team members.

  • Contact info: filter to see which candidates have contact information available.

Profile Count

When you apply filters in the Shortlist tab, you can now see how many matching profiles your filter returns directly on the tab. This eliminates guesswork when narrowing down your candidate pool.


Fetching Contact Information

Before reaching out to candidates, you'll need to retrieve their contact details. Navigate to the toolbar above the first profile to fetch phone numbers or email addresses either individually or in bulk:

  1. Individual fetch — click the contact info icon on a specific candidate's profile.

  1. Bulk fetch — select multiple candidates using the checkboxes, then use the toolbar to retrieve contact information for all selected profiles at once.

Note: Fetching contact information uses SeekOut Contact Credits — 1 credit per candidate email, and 1 credit per candidate phone number. If SeekOut cannot find contact information for a candidate after the search, that credit is refunded to your account. You can check your remaining credits by clicking your name in the bottom left corner of your dashboard. See the Contact Information Credits guide for full details.


Understanding Outreach Statuses

Each candidate in the Shortlist tab displays an Outreach status so you can track where they stand in your engagement process. Here's what each status means:

Status

What it means

Not Contacted

The candidate has been shortlisted but no outreach has been sent yet. This is the default starting status.

Contacted

The first email in the outreach sequence has been delivered.

Replied

The candidate has replied to one or more messages.

Interested

Must be set manually to indicate the candidate has expressed interest.

Not Interested

Must be set manually to indicate the candidate is not interested.

Note: The Not Contacted, Contacted, and Replied statuses update automatically based on outreach activity. Interested and Not Interested must always be set manually.


Bulk Actions in the Shortlist Tab

The Shortlist tab supports bulk actions to save time when managing large candidate pools:

  • Bulk status updates — select multiple candidates using the checkboxes and use the Bulk Action toolbar to update their status all at once, either for selected profiles or your entire shortlist.

  • Bulk contact info fetch — select multiple candidates and retrieve email or phone information for all of them in a single action.

  • Bulk add to Outreach — select candidates and use the Add to Campaign option in the Bulk Action toolbar to push them into an Outreach sequence.

Note: Bulk actions now apply across your entire shortlist, not just the candidates visible on the current page. This is especially useful for high-volume sourcing.

Tip: You can push up to 100 shortlisted candidates at a time to an Outreach campaign. If your shortlist is larger than 100 candidates, you will need to repeat the action in batches.


Adding Shortlisted Candidates to Outreach

Once you're ready to begin engagement, there are two ways to move your shortlisted candidates into an Outreach campaign:

  1. From the Shortlist tab — select candidates using the checkboxes, then use the Add to Campaign option in the Bulk Action toolbar to add them to an existing or new Outreach sequence.

  1. From the Outreach tab — navigate to the Outreach tab, click Create Sequence, and use Add People to pull in your shortlisted candidates.

Tip: Before launching outreach, make sure each candidate has an email address on file. Candidates without an email will show a Missing email status in the Outreach tab. Use the contact fetch tools in the Shortlist tab first to retrieve emails in bulk before moving to Outreach.

Shared Comments and Private Notes

The Shortlist tab supports both team collaboration and personal note-taking directly on candidate profiles:

  • Shared Comments — visible to all Workspace participants. Comments added in the Shortlist will also appear on that candidate's profile in Search Results and other Workspace views, keeping everyone aligned.

  • Private Notes — visible only to you. Use these to capture personal observations or context without cluttering the shared view.

To add a comment or note, open the candidate profile and use the comments/notes section within the profile card.


Collaborating with Your Hiring Team

The Shortlist tab is designed for team collaboration. Share your Workspace with hiring managers and teammates so they can review shortlisted candidates, discuss next steps, and align on who to pursue.

To add team members to your Workspace:

  1. Navigate to the Add Participants icon at the top of the Workspace screen.

  2. Add people by name or email manually, or select them from the drop-down menu.

Once added, participants can view shortlisted candidates and their statuses. Note that you can only share a Workspace with people inside your organization — sharing outside your org is not supported.
