All SeekOut accounts include the ability to send automated, multi-step email campaigns using the Candidate Outreach feature. These emails are sent and candidate replies are tracked via your own email address.
You can also link multiple email addresses in the event that you want to send campaigns on behalf of your hiring manager or another recruiter. When adding other emails the user will need to grant permission to have the outreach messages sent from their email. Any candidate replies will go to their inbox.
Note: Candidate Outreach does not support using alias emails to send messages. Make sure the email that you want to use is a real email address and not an alias.
Setting up a "Send on Behalf" email
This setup allows recruiters to send outreach messages using a hiring manager’s email address. The process is divided into two roles:
For Recruiters (SeekOut License Required)
Link Your Primary Email Account Before starting, make sure your own email account is connected to SeekOut.
Access Global Outreach Settings
Go to the Projects section of your dashboard.
Click into a project and navigate to the Outreach tab.
Click Outreach Settings, then scroll to Global Outreach Settings at the bottom.
Request Permission to Connect a Manager’s Email
Click Connect Account.
Select Request permission to connect someone else's account.
Click Connect Email.
4. Share the Setup Link
Click Copy Link and send it to your hiring manager.
For Hiring Managers (No SeekOut License Needed)
Create a Free SeekOut Account
Click the link shared by your recruiter.
Enter your name, email address, and a new password.
Click Done to create your account and log in.
2. Connect Your Email
Click Connect Email Account, then Link Email Account.
In the pop-up, select I want to connect an account I own.
Enter your email address and click Connect Email.
3. Authorize Permissions
You’ll be redirected to your email provider’s login page.
Accept all permissions requested by SeekOut, including:
Viewing email metadata, labels, and headers
Sending emails on your behalf
Once complete, your recruiter will be able to send outreach messages using your email address through SeekOut.
How to use a Send on Behalf email in a campaign
Once your hiring manager has linked their email, follow these steps to confirm and use it in your campaign:
Confirm the Email Connection
Go to a Project in your dashboard.
Click the Outreach tab.
Open Outreach Settings.
Under Your Connected Email Accounts, you’ll see the hiring manager’s email listed.
Choose the Sending Email for Your Campaign
When creating or editing a campaign (before it starts):
Use the From dropdown menu to select which email address your messages will be sent from.
This dropdown is only available before the campaign has launched.
Replies to your outreach will go directly to the inbox of the selected email address.
This setup ensures your outreach appears personalized and comes directly from the hiring manager’s inbox.
