GETTING STARTED

What is SeekOut Workspaces?

SeekOut Workspaces is a next-generation, AI-powered workflow that transforms how you discover, evaluate, and engage candidates. Workspaces streamlines your hiring process, helps you identify the best-fit talent faster, and enables your teams to scale recruiting best practices with ease.


Who can access Workspaces?

Workspaces is available to all SeekOut customers with paid licenses that have access to Search. It is included at no extra cost with your paid SeekOut subscription.


Is using Workspaces required?

No, using Workspaces is optional. All existing SeekOut features — Search, Projects, etc. — remain available, so you can continue to work in whatever way best fits your workflow.


Can I opt out of Workspaces entirely?

Yes. You or your organization can opt out of Workspaces at any time. Access can be enabled or disabled at the organization, team, or user level as required — just let us know your preference!


Can I use Workspaces without its AI features?

Absolutely. All AI-powered features within Workspaces are optional. You can leverage the core workflow and tracking benefits of Workspaces even if you choose not to use AI.


Do I need to integrate my ATS or CRM to use Workspaces?

No — but it's a much better experience if you do. With a connected ATS you can easily:

  • See all your open roles

  • Find great talent without manually creating a search

  • Rediscover past applications that are perfect for currently open roles

  • Easily export profiles

  • Get insights into the end-to-end pipeline for open roles

How are profile evaluation scores calculated?

Profile scores in Workspaces give you a quick, easy-to-understand snapshot of how well a candidate matches your defined criteria. For each criterion:

The score for a profile is the average of these points across all criteria, rounded to the nearest 10.

Example: If you have 5 criteria and rate one as Yes and four as No, the score would be: (100 + 0 + 0 + 0 + 0) / 5 = 20


CREDITS & USAGE

Are there any usage restrictions?

Certain AI-powered features within Workspaces use AI Credits (similar to existing Email or Export credits):

  • Profile Evaluations and AI-generated Email Outreach each consume one AI Credit.

  • Most plans include 10,000 AI Credits per user per month — more than enough for even high-volume users.

  • Credits can be shared (pooled) across your organization, and you can purchase additional credits if needed.


AI & DATA SECURITY

Is client data used to train SeekOut's AI systems?

No. Client data is never used to train SeekOut's AI systems.


Does Workspaces introduce bias into the sourcing or evaluation process?

No. By using the same prompt to evaluate and search for all candidates, we reduce the opportunity for user-introduced bias in result sets.


Have you implemented measures to counteract potential biases?

Yes. In addition to reviewing our system design and implementation for potential sources of bias, we have specific features to reduce bias and continuously monitor for new risks.


Do you have safeguards against prompt injection, excessive agency, and LLM hallucination?

Yes. Azure AI Services has built-in protections and SeekOut applies its own prompt analysis to prevent malicious input. Additionally, the outputs of our AI features are limited to making changes within our tool's UI, so any hallucination risk is minimal.


Is client data shared with subprocessors (3rd party / 4th party)?

The only data shared with a subprocessor is the job search input (for example, "software engineers with experience in iOS development"). No personal data is shared with any subprocessor.


What AI providers, models, or features does Workspaces use?

SeekOut uses foundation large language models from Azure AI Services. Currently, we use GPT 4 series models, GPT o3 series models, and GPT 4.1 series models.


Does SeekOut's AI implementation align with ISO/IEC 42001:2023?

Yes. SeekOut's AI system and surrounding policies and practices align with ISO/IEC 42001:2023.


Do you have an AI Bill of Materials (AIBOM)?

Yes. SeekOut uses foundation large language models from Azure AI Services as the basis of its AIBOM.


Do you prevent training data tampering or poisoning by external or internal actors?

Yes. Our training data is not influenced by internal usage or external actors and does not change as customers use our system.


Do you regularly audit your AI implementation with a 3rd party?

Yes. SeekOut engages an external party to audit our AI implementation whenever a significant change is made to our AI infrastructure. This audit report can be provided upon request.


Have you taken steps to monitor, assess, and mitigate AI risks?

Yes. We review AI risks as part of our quarterly corporate risk assessment program. As part of this program, we identify and implement appropriate risk mitigations on an ongoing basis.
